Job Summary

  • Responsible for providing high – level administrative support and assistance to the Managing Director and/or other assigned leadership staff. To assume the duty of clerical and administrative support in order to optimize workflow procedures in the office, assisting the Managing Director by supporting him planning and distributing information and performing numerous duties, including scheduling meetings, taking notes, recording minutes, writing correspondence, prioritizing emails, handling visitors, making travel arrangements, preparing reports, filing and orgainizing documents and performing basic bookkeeping tasks

Job Responsibilities

  • Acting as the point of contact among executives, employees, clients and other external partners
  • Managing information flow in a timely and accurate manner
  • Managing executives’ calendars and set up meetings
  • Accurately record minutes during meetings
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly, monthly or quarterly reports
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
  • Receiveing incoming communication or memos on behalf of Director, review contents and determine its importance, and summarize and/or distribute contents to appropriate team
  • Preparing financial statements, reports, memos, invoices letters, and other documents
  • Handling basic bookkeeping tasks
  • Greeting visitors and deciding if they should be able to meet with executives
  • Experience as a virtual assistant
  • Provide general administrative support
  • Any other duties/tasks as and when assigned by the Director/Site Head

Job Requirements

Education

  • Possessing Post Graduate Diploma in Human Resources Management
  • Holding the certification under Secretarial Practice, issued by NCVT - Delhi

Knowledge, Skills and Abilities

  • Proven work experience as a secretary, executive assistant
  • Familiarity with office organization and optimization techniques
  • High degree of multi-tasking and time management capability
  • Ability to Organize a daily workload by priorities
  • Must be able to meet deadlines in fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills
  • Excellent written and verbal communication skills
  • Integrity and professionalism

Experience

  • Acquired 10+ years of experience in the relevant field
