Job Summary
This role is responsible for various HR Operational activities supporting stakeholders in Canada. The scope extends, but not limited to providing support and partnership in the execution of the following HR processes; AskHR services, Talent Acquisition Coordination, Employment Letters, JD Uploads & any new upcoming processes as per business requirement.
Job Responsibilities
- Ask HR Services:
- Responsible for keeping track on voicemail/mailbox and creating ticket in BWF System with proper resoultions, assigning it to relevant group and responding through emails(if required) from employees regarding Payroll, Employee Self-Service Portal, Benefits, as well as company and HR related policies
- Provide high degree of customer service to employees through accurate, consistent, and timely responses regarding HR related issues with the goal to solve the question or issue at the first initial contact.
- Troubleshoot and resolve issues using relatively thorough knowledge of HR policies and procedures, HR systems, and internal HR processes.
- Talent Acquisition Coordinator:
- Provide administrative support to the Talent Acquisition team.
- Manage IJPP requests coming through Recruiters and check eligibility through SAP and update ATS. Respond through Email once request is completed within the defined timelines.
- Responsible for scheduling interviews with candidates on behalf of Recruiters and Hiring Managers, and escalate scheduling challenges to Recruiters.
- Conduct Background/Reference checks in a timely manner, probing appropriately. Review comments with applicable recruiter, highlighting any points of concern.
- Collect and review Candidate Documentation as per New Hire Check List, ensure relevant documents are submitted to Payroll to facilitate onboarding activities in a timely manner.
- Update the ATS and trackers on a regular basis to ensure current status is visible for Recruiters.
- Employment Letters:
- Responsible for handling Employement Letter requests coming through Mailbox/System by People Leaders/HRP as per defined timelines.
- Prepare Employee Letters such as Promotion, Status Change, Contract Renewal, etc as per business requirement and send them to People Leader/HRP for review.
- Post People Leader review and Employee Signature done, update the attached letter in the system and route it to the relevant group.
- Reponsible for updating trackers in a timely manner.
- Job Description Uploads:
- Managing Job Description Upload requests coming through People Leaders/HRP
- Review and Verify all information available for updating JD in the system.
- Post validation of all the information, update the JD in the system with correct formatting.
- Respond to People Leader/HRP with System JD Preview once JD Upload done.
- Update the trackers in a timely manner.
- Other Duties:
- Works in a safe manner collaborating as a team member to achieve all outcomes.

Job Requirements
- Education
- Bachelor’s Degree/PG Diploma in Human Resources or related discipline.
- Knowledge, Skills and Abilities
- Ability to work within a 24x5 work environment.
- Experience working with international stakeholders preferred but not a mandate.
- Experience working in a call centre environment preferred but not a mandate.
- Requires the ability to handle confidential information and business documents in a professional manner
- Requires excellent computer skills, specifically Microsoft Excel, Word, Outlook and PowerPoint
- Experience with an Applicant Tracking System and HRIS (SAP) preferred.
- Excellent communication skills, both verbal and written.
- Exceptional interpersonal skills, with the ability to respectfully and tactfully interact with a ariety of internal and external stakeholders from diverse backgrounds.
- Demonstrated ability to multi-task and prioritize effectively in a fast-paced environment with frequent interruptions, while still meeting deadlines.
- Exceptional customer service skills.

- Experience
- 2-5 years' experience in the HR field.
