Job Summary
The Property Management Coordinator is responsible for being the designated Site role owner of the Security Access Systems – Primary Lead user for security access control activities and designated sites.
This role is responsible for coordinating the Security Access Control, “Key Control” System, Photo Identification and Personal Vehicle Parking Permit activities with emphasis on customer service.
Responsible to prepare and issue Purchase Requisitions for Safety Shoes and Prescription Safety Eyewear for all Apotex users on site. Administers company garment program.
Job Responsibilities
- Oversees and maintains ownership of corporate internal request system as it relates to Property Management, responsible for monitoring open requests and seeks resolution/completion in a timely manner.
- Site Role Owner to ensure smooth daily operation of the Computerized Security Access Control System, including photo identification, Key Control, Private Vehicle Parking Permit activities and uniform program.
- Identify and resolve building-access issues, highlighting any consequent impact to company security.
- Assist with the implementation of new security processes and/or system changes.
- Review new hire information from the Talent Acquisition team, and prepare all applicable items required for onboarding during corporate orientation.
- Prepare photo identification building access badges and maintenance of appropriate records for Apotex employees, Contractors and Agency personnel.
- Maintain Security/Access Control System database assigning and removing access rights as necessary. Interact as necessary with the business to retrieve expired/-cancelled cards.
- Process all employee staff movement across the GTA sites as required in a timely manner
- Process all status changes, contract extensions, terminations as required, and ensures access systems is updated accurately.
- Prepare and issue private vehicle parking permits and maintains an accurate database in SAP.
- Maintain local Key control system. Issues/retrieves keys as necessary.
- Coordinate company personal lockers/lock system for site location and maintains database to ensure accuracy.
- Responsible for measuring, ordering, cancelling any garments or lab coats as required. Responsible for identifying any discrepancies with invoicing.
- Submit recommendations to Manager, Property Management with respect to security and access system upgrades, or any ongoing issues that should be addressed with vendors.
- Prepare and issue safety shoe and prescription safety eyewear requisitions as required. Review invoices. Maintain record of safety shoe and eyewear purchases by employee name for audit purposes.
- Process access control system activity reports for controlled areas on a weekly or as required basis with necessary emphasis on confidentiality of report content.
- Escort and oversee contractors as required.

Job Requirements
- Education
- Post-secondary education in a related field or an equivalent combination of education and experience.
- Knowledge, Skills and Abilities
- Knowledge of integrated computerized Access Control Security Systems and technologies.
- Excellent Customer Service skills and experience
- Experience with MS Office software package. Excellent keyboarding skills required.
- Excellent communication skills and interpersonal skills required.
- Displays good time management and detail-oriented skills.
- Ability to work in a fast-paced environment with an emphasis on multi-tasking.
- Experience with SAP.

- Previous experience in Property Management and/or Security control activities is desired.
