Job Summary

Purchasing of Non-Inventory items including but not limited to:  Laboratory Supplies, Laboratory Chemicals, Maintenance supplies for Plant and Facility Maintenance, Office Supplies, Capital Projects & other purchasing as directed by the Manager, and/or the Supervisor.  Support and documentation for purchasing of Inventory items.

Job Responsibilities

  • Works independently with vendors on routine orders to ensure timely processing of orders and on-time delivery of goods and services.
  • Negotiate with vendors on price, shipping, and delivery terms to meet the needs of the organization.
  • Identify opportunities for cost reduction or operational improvement and expense reductions through modification of buying patterns, change of suppliers, or systematic improvements
  • Provide guidance to the requisitioning department and review requisitions prior to issuing to the supplier. Process requisitions by issuing purchase orders or on-line ordering.
  • Identify sources for supply of parts, equipment, or services and obtains quotations, product information and availability
  • Ensures all material being purchased meet with the requesting departments requirements for quality, grade, part no., etc.
  • Ensuring all factors are considered when selecting the vendor and establishing delivery and payment terms.
  • Monitor and expedite deliveries of orders to ensure timely receipt of goods per the terms on the purchase order. Inform the requesting department of any potential delays or concerns as appropriate.   Work with the requisitioning department and the supplier to achieve mutually agreeable results. Brings difficult any conflicts or issues to the attention of the Manager and or Supervisor.
  • Arrange returns and replacements or credit for non-conforming items
  • Maintain electronic records of all purchasing activities
  • Maintain a working knowledge of International transport requirements and work with the Import/Export &Traffic group as required to ensure on time delivery of goods.
  • Work with Import/Export & Traffic Group to ensure that all shipments originating from outside Canada comply with Canadian Customs requirements.
  • Work with Import/Export and Traffic Group to ensure all chemical shipments comply with Transportation of Dangerous Goods requirements.
  • Coordinate with the Accounting Department to resolve issues, ensure on time payment or hold payments when issues with materials or services from a supplier exist.
  • Update and maintain SAP vendor information as required.
  • Work in a safe manner collaborating as a team member to achieve all departmental and personal goals.

  • Performs all work in accordance with all established regulatory and compliance and safety requirements.
  • All other duties as assigned.

Job Requirements

  • Education
    • At minimum must have obtained a High School diploma.
    • Preference is given to those with Post Secondary education in Supply Chain management or Business Management related studies.
    • Preference is given to those having who are working towards a Certificate or Designation in Purchasing and Inventory Management.
  • Knowledge, Skills and Abilities
    • Must be proficient in Microsoft Office Suite computer applications with thorough knowledge of Excel spreadsheet applications.
    • Excellent organizational and communication skills coupled with a willingness to learn departmental/industry procedures and company standards.
    • Familiarity with Canadian Customs requirements for importation of goods.
    • Uses sound judgment in making decisions and forming recommendations.
    • Adheres to CGMPs and applicable Standard Operating Procedures when performing job responsibilities and assigned tasks.
    • Effectively manages workload and prioritizes work in line with the overall department and Company objectives and requirements, adhering to defined targets and deadlines.
    • Maintains complete and accurate documentation/records/data, filed in an organized, secure and easily retrievable manner.
    • Previous training and experience with Transportation of Dangerous Goods (TDG) regulations is an asset.
    • Previous experience using SAP Procure to Pay module is considered as asset.
  • Experience
    • Minimum of 2 years of prior purchasing experience utilizing computerized purchasing systems is required. Preference given to candidates with Chemical, MRO, and/or Laboratory supply purchasing experience.
