Job Summary

The Human Resources/EHS Specialist will support the Indianapolis Distribution Center with the day-to-day Human Resources, and Environmental, Health and Safety processes. They will govern the administration of the human resources policies, procedures and programs, carries out responsibilities in the following functional areas: departmental development, Human Resource Information Systems (HRIS), employee relations, training and development, benefits, compensation, organizational development, and employment.  Additionally, they will serve as the Distribution Centers Safety Officer, directly responsible for the Site Safety, and it’s EHS Programs. 

Job Responsibilities
  • Carries out responsibilities in accordance with the organization’s policies, procedures, and state and federal laws.
  • Provides administrative, secretarial and clerical support to the Human Resources Department.
  • Manages temporary personnel.  Main contact with staffing agencies.  Works closely with hiring managers, tracks staff requisitions, schedules interviews and initial training, and keeps headcount reports.
  • Screens internal calls and correspondence, maintains the department’s intranet web site, and responds to general questions from internal and external customers independently when appropriate regarding areas of responsibility.
  • Maintains confidential and sensitive information including personnel files and business contracts.
  • Conducts new employee orientation and processes new hire paperwork.
  • Manages employee Service Award Program and P.A.I.D. for Excellence Program.
  • Arranges programs, events or conferences by arranging facilities, caterer, multimedia systems, issuing invitations and information, coordinating speakers, and controlling event budget.
  • Payroll back-up.
  • Manages schedules, calendars, and travel arrangements for job applicants and supervisors.
  • Composes and edits letters, e-mails, memoranda reports and presentations; generates and revises correspondence and handles processing of a variety of reports and paperwork.
  • May develop, maintain, and coordinate relational database system to provide management with accurate project costs and related information; ensures historical tracking and reporting of data and employee files and database.
  • Provides guidance and training to receptionist.
  • Ensures compliance with all Company policies and procedures including safety rules and regulations.
  • High degree of professionalism with external and internal contacts.
  • Performs related duties as assigned.
Job Requirements

High school diploma and three (3) to five (5) years of clerical, Human Resources and secretarial experience preferably in a pharmaceutical industry environment. An equivalent combination of education, and experience may be substituted.
